The Reports Open Toolbar is a vertical toolbar located on the left side of any open report, just below the SMP logo.

Q) Close Report—Click on the red "x" to close the open report.

R) Page Setup...—Allows user to change margins and orientation for reports or forms (that user may want to print).

S) Send to Mail Recipient—Opens a dialogue box where the user is asked to choose a file format.  When the format is chosen, a new email message is opened and the file attached.  Send reports in either the snapshot or rtf (rich text file) file formats.  Follow these instructions to send a report as an attachment to an email:

  • Open the report to be sent to Springfield.

  • Click on the Send to Mail Recipient button.  A special dialogue box appears where the user must select a file format.

  • Select snapshot or rtf file format from the list. 

  • An email automatically opens with the file (in the selected format) attached.

  • (Note: If snapshot is not on the list, this format has either not been installed or has not been configured properly.  See the Microsoft Office documentation for help to install snapshot.  Or open Access and go to Help, Detect and Repair).

T) Export—Opens a dialogue box where the user is asked to choose a file format and location to save the file.

  • Open the report to be sent to Springfield.

  • Press the Export icon.  The typical file dialogue box appears.

  • Navigate to the directory where the file will be saved ("My Documents" for example).

  • Note that the name of the file defaults to the internal report name in the SMP program.  This name can be used or replaced with another.

  • Choose the desired format, for example "Snapshot format" from the "Save As Type" dropdown box.

  • The file is saved to the hard drive and can be attached to an email message.

U) Print—Prints open report, bypassing the print dialogue box.
