Withdrawal Process Form:  HOW DO I Withdraw a Group of Students?

  1. Go to Withdrawals Form.  Enter the student numbers and the reason for leaving the LACC program for each student.

  2. A reason for leaving is required.  The drop-down (combo) box column "reason for leaving" has a limited number of reasons in the list.  You must choose one of these.  If you'd like to add another reason follow these steps:  In the pink box "Reasons for Leaving," add a new reason by clicking in the emply line where the asterisk is, below the last reason in the list.  Reasons for leaving can be added, deleted or edited in this sub-form.  After adding a new reason, tab to a new line to refresh the drop-down box.

  3. Press the Create Packet button after entering all withdrawn students.  This assigns the date (today's date by default) in the orange box to the group of students as a packet date.

  4. Verify the packet date in Packet box in the blue reports box.  By default the packet date is the date of the last packet processed.  Note:  Previous withdrawal packets may be resubmitted by choosing a previous packet date.

  5. Click on Preview List to view the list of withdrawals.  Print and file this report as a control of communication with the SCO.

  6. Verify Internet connection.

  7. Press the Upload Data File to Server button.  A copy of the withdrawals data file is copied to both the lacc\export folder and the SMP server.  The file in the export folder will have this format mmddyy,xxExportWithdrawals.txt, where xx is the country number.

  8. Press the Send Email List and Advisory button.  The file format box will appear.  Select Rich Text Format (default) or Snapshot format.  An email advisory message should open and the report file will be attached.  A message may be included with the email.  Note: Some email programs may interrupt the automatic opening of an email message.  If this occurs, give permission to open and send the email.  If it doesn't open, it may be automatically put in the outbox of your email program.  If this is how your email program works, it is strongly suggested that you turn off the feature that automatically sends messages when they arrive to the outbox.

  9. Press send after verifying that the email message will be sent to DataTables@LACCOffice.org and your rep.

Note:  Students who graduate should be handled through the graduation process on the Graduation Form.  See HOW DO I Process Graduations?

HOW DO I Reverse Withdrawals or Graduations?

If a student who was withdrawn or was graduated by mistake and returns to school and if the SCO has not processed the withdrawal/ graduation or has given permission to reverse it, the withdrawal or graduation process can be reversed by following these steps:

  1. Open Individual Student form. 

  2. Click on the “WD/ Transfer Info” tab.

    1. Note the date of withdrawal. 

    2. Remove the date of withdrawal, date withdrawal sent and reason for leaving

    3. Change the “School Status” from “Withdrawn” to “Active.”

  3. Click on the "Sponsorship Info" sub-tab.  Change “Sponsor Code” from “Closed” to the prior code the student had before he was withdrawn (“New,” “Sponsored” or “Previous”).  The prior sponsor code can be discerned from the sponsorship history datasheet. 

    1. It was "New" if there was no prior sponsorship listed.

    2. It was "Sponsored" if there was a sponsor and he has a closed date the same as the date of withdrawal that you noted.

    3. It was "Previous" if there was a sponsor but he has a closed date before the date of withdrawal that you noted.

  4. If the student had a sponsor, remove the date from the field “Date Closed.”  This reactivates the sponsorship.

Note: If the SCO has already processed the withdrawal/ graduation and does not give permission to reverse the withdrawal, the student must be treated as a new student, therefore following the new case history process.
