Update Case Histories/ Photos Form:  HOW DO I Process Requests for Updated Case Histories and Photos?

The SCO will include requests for updated case histories and photos in the periodic mdb files sent.  After the mdb file is processed go to the Update CH/Photos form. 

Follow these steps to process requests for updated photos:

  1. In Update CH/ Photos form, click on Update Photos tab.  Students for which an updated photo is requested will appear in the table in the green box.

  2. Press the Process button.  The group processed is assigned today's date for producing the Photographer's List.  These records are also added to the yellow box Record Receipt of Photos.

  3. Note that today's date is in the drop-down box in the pink box.  Select this date or a previous date. 

  4. Press the Photographer's List button in the pink box to preview the Photographer's List report.  The report generated is a list of students for whom a new photo has been requested.  It includes the student’s number, name and grade.

  5. The photographer takes this list with him to the school.  This list is also used as a photo number control sheet for digital photography.  The photographer should note the camera number next to each student’s LACC ID number.

  6. In the yellow box Record Receipt of Photos, put a check mark in the small box next to all those for which you have a photo.  The date the photo was requested is provided in case the user needs to reprint the photographer’s list.  Press the Process button.  Those with check marks will no longer appear on the list.

Process and send photos to the SCO.  Note:  Editing and sending the actual photos occurs manually, outside of the SMP program.  See Digital Photography Procedures for more information.
