Sponsor Form: HOW DO I view sponsor information?
Generally, it is not necessary to add sponsors or edit
sponsor information for all LACC sponsors. However, all other sponsors
will need to be added and maintained manually.
-
Go to Sponsors Form. This form is designed to view
and edit sponsor information of an existing sponsor.
-
To add a new sponsor, click the "triangle/asterisk" button.
Enter sponsor ID and sub-sponsor ID (required) and other information as known.
-
To delete a sponsor, click on the "triangle/x" button.
-
To search for a sponsor, enter the 6-digit sponsor number in the “Lookup Sponsor #”
field. If the sponsor is in the table, the first sponsor record will appear when the
user presses enter. The number will appear to the right in the yellow
background fields. Note: a sponsor may have more than one sub-sponsor
number. Click the right triangle/arrow key at the bottom of the
form to view the next record.
The form is divided into four parts, indicated by the
four tabs.
-
General Information tab—Includes general information
provided by LACC Springfield. All information is editable.
-
Misc. Information tab—Includes secondary information
about the sponsor, most of which is not pertinent to the country program, but is
available for reference purposes only. All information is editable.
-
Sponsorship History tab—Gives a complete history of which students the
donor has sponsored, past and present. A date in the “Date Active” field
indicates that the sponsor started sponsoring the student on that line on that
date. If the “Date Ended” field is empty, the sponsorship assignment is
current. A date in the “Date Ended” field indicates that the sponsor
stopped sponsoring the student on that date. Sponsorship information is
updated with the processing of mdb files.
-
Letters/ Gifts tab—Shows the history of letters and
gifts (money) sent by the sponsor to his student(s). Note: only the "Ack'd"
fields and the "Gift Bought" field can be edited on this form.
-
The tracking number for letters and gifts is assigned in the LACC
Springfield office. This number appears on the letter itself and should
be written on the response letter from the child to his sponsor. The
tracking number is automatically included on the "Letterhead for Students"
reports.
-
A check mark in the “Ack?” field indicates that the
student has written a response letter.
-
The packet code is assigned in the country office. It
represents the batch of letters or gifts and is important for the printing of
reports and recording response letters from students to their sponsors.
See Sponsor Reports
for additional information on sponsor labels and giving reports.
