HOW DO I Register Photos in SMP?

The “Register Photos” form manages the process of registering photos of students with the SMP program.  The actual photos are not stored in the database.  Instead, programming is used to display the photos on the Individual Student form  and on various reports. 

The programming produces a “flashing” effect when the photo is building to display on the form or report.  The programming searches for files that contain photos in a directory indicated by the user.  Normally photos will be stored in directory:  c:\lacc\fotos.  All photo files should be copied to this directory.  In a network environment, the network path should be used so that all users will have access to the photos.  A typical network path would be “\\Computer\lacc\fotos” (where "computer" is the name of the computer that has the photos and "\lacc\fotos" is the path to the shared folder that has the photos.)

The same photos that are edited to send to LACC Springfield are those that are used by SMP.  See Appendix B: Digital Photography Procedures for detailed instructions on preparing photos for use in the program.

Because the name of the photo files contain the student ID, the program associates each student with his respective photo file.  Since frequently new photo files are added (new case histories) or photo files are changed (transfers) or deleted from the photos directory, it is necessary to update which photos are available to the program.

Therefore, whenever the contents of the photo directory change, you must re-register photos. The process is very simple:

  1. Browse to or enter the directory location where the photos are stored.  The program will remember the last location used.  On first use the default is “c:\lacc\fotos”.  Remember to use the network path if more than one computer is using SMP.

  2. Press the “Register Photos” button.  The program will search for photos in the indicated directory and establish the path for each photo.  The process will take about 1 to 10 seconds for every 100 photos depending upon the computer's processor speed.

  3. Test the registration of photos by clicking on Individual Students.  Search for a student number that you know has a photo to confirm that the photo is displayed.  If there is no photo displayed, note the photo path at the bottom right of the form.  Verify that the path is correct.  If it is incorrect, repeat steps 1 and 2.
